How to Plan and Facilitate a Skillshare Meeting
The Skillshare Facilitation Buddy Chain
- Skillshare meeting facilitation operates on a buddy system wherein experienced Facilitators (Facilitator A) are joined by a newer Co-Facilitator (Facilitator B) who is interested in learning how to manage meetings
- Within the week following a meeting, Facilitator A creates a poll to determine the next meeting date. Once the date is finalized, Facilitator A puts out an ask for a co-facilitator - ideally someone who hasn't facilitated in the last 6 months
- The co-facilitators meet to prepare the agenda and split up facilitation in whatever way makes sense for them
- After the meeting, the co-facilitators check in and determine the plan for the next meeting
- If Facilitator B feels ready to work with a new co-facilitator, they will put out a call for a new co-facilitator
- If Facilitator B feels like they need more practice before switching partners and Facilitator A is available, they can buddy up again for the next meeting OR find another experienced person to work with.
- Any other configuration of this pattern that meets the goal of skill sharing is OK. Scheduling is hard and we may not be able to perfectly follow this chain formula, but we will make an effort to bring in new folks, practice new skills, and support each other
Basic Logistics for Facilitators

- Once a date is established, put out a call for a co-facilitator and a notetaker in https://swmutualaid.slack.com/archives/C07656TCDM0
- Add the meeting to the SWMA community calendar
- Make the event in PlanHero (or request PlanHero event creation in https://swmutualaid.slack.com/archives/C011PENALSX
- Share the link to the PlanHero in https://swmutualaid.slack.com/archives/C07656TCDM0
Meeting Preparation/Making an Agenda
- The easiest way to start is by duplicating an old meeting agenda. From the meeting notes/agendas database above, find the most recent meeting, click the six dots on the left hand side, and then click ‘Duplicate’
- Review the old agenda. Reach out to people who were assigned things at the last meeting to get updates
- Update the agenda information (facilitator, note taker, etc), organize the agenda to cover any next steps identified from the last meeting, and include any new discussion items identified, and incorporate updates gathered from the group in step 2. You can erase any old meeting notes that are not relevant to the next discussion.
- Share the agenda with the group in https://swmutualaid.slack.com/archives/C07656TCDM0 at least 3 days in advance of the meeting, and ask the group to weigh in if they’d like any items added to the agenda
